About the Role:

As the Operation and Community Executive, this position plays a pivotal role in ensuring the smooth day-to-day operations of our coworking facility. You will assist the Operation and Community Manager in overseeing various aspects of the team and the space, including coworker relations, facilities maintenance, event coordination and administrative tasks. Your proactive approach, attention to detail, and dedication to exceptional member experience will be essential in contributing to our coworking space success.

Job Responsibilities:

1. Multi-Branch Operations Oversight:

  • Supervise and coordinate daily operations across multiple coworking branches.
  • Ensure consistency in cleanliness, safety, member services, and brand presentation.
  • Manage vendor relationships, facility maintenance, and supply inventory for each location.
  • Regularly audit processes and ensure compliance with company SOPs.

2. Branch Budget & Cost Management:

  • Oversee budget control for each assigned branch, including expense tracking, forecasting, and reporting.
  • Identify cost-saving opportunities while maintaining service quality.
  • Ensure timely approval and processing of operational expenses.

3. Team Leadership & Training:

  • Lead on-site staff and support recruitment when needed.
  • Train and onboard new employees, ensuring alignment with service standards, operational procedures, and cultural values.
  • Conduct periodic performance reviews and provide coaching and development support.

4. Community Engagement:

  • Foster a friendly, inclusive, and connected coworking environment.
  • Plan and execute community-building activities such as events, workshops, and meetups with the marketing department.
  • Act as a go-to contact for members, handling feedback and resolving issues with a solution-oriented mindset.

5. Sales Member Experience Support:

  • Oversee smooth onboarding of new members for the supervised branches.
  • Analyse member satisfaction trends and proactively address retention risks.

6. Project Management:

  • Manage operational and community projects, such as space upgrades, service improvements, system rollouts, or event campaigns.
  • Create project timelines, assign responsibilities, and ensure on-time delivery with clear reporting.
  • Liaise with cross-functional teams to ensure project alignment with business goals.

7. Reporting & Strategy:

  • Provide regular updates to leadership on branch performance, budget usage, community health, and renewal metrics.
  • Assist with the setup and launch of new coworking branches, including staffing, training, and systems implementation.
  • Collaborate with internal teams (e.g. marketing, sales, human resource) to enhance operational efficiency and coworker satisfaction.

Qualifications:

  • Bachelor’s Degree in Business Administration, Operations Management, Project Management, or related field.

Experience & Skills:

  • 2–4 years of experience in a similar role, ideally in coworking, hospitality, or multi-location operations.
  • Strong understanding of renewal and retention strategies in a membership-based model.
  • Demonstrated experience in team leadership, budget management, and project execution.
  • Excellent interpersonal, communication, and organizational skills.
  • Profi cient in Microsoft Offi ce
  • Experience in managing coworking spaces or fl exible workspaces.
  • Background in training and staff development.
  • Familiarity with customer experience metrics and NPS tracking.

Additional Information:

  • Working hours: Monday to Thursday : 8:30AM – 5:30PM | Friday : 9:00AM – 5:00PM
  • The role requires frequent traveling between branches and states upon management requirement
